General Information
When can I email the treasurer?
NEVER! Anything and everything that has to do with registration needs to go through the Registration department. If you email the treasurer about a registration issue it takes twice as long to be answered. We can be contacted at registration@animeevolution.com.
If I send you an email when can I expect a reply?
If it’s a basic question you can expect a reply in 48 hours Monday to Friday. On weekends it takes longer, up to 72 hours, as staff members have other obligations outside of AE.
If it’s regarding your registration form please wait 4 to 6 weeks.
Do I receive a confirmation letter or package?
Yes! You should receive a letter within 4 to 6 weeks of your registration via email. It outlines all the information you need to know about registration, badge pick-up and other important AE information. The letter also contains your badge number. You need a copy of your letter when picking up your badge. Consider this your ticket for AE.
Do I have to use my real name when I register, or on my badge?
Yes, Anime Evolution requires a complete full legal name when registering, as well on your convention badge. You can also include a nickname or badge name on your badge.
What is a badge name?
A badge name is nickname that you would like to see on your badge along with your actual name. It can be anything you want – forum name, favourite character, or a short version of your name to list a few suggestions.
I registered for Anime Evolution but haven’t paid yet what happens?
To qualify for the pre-registration price that you have registered for, you must submit the payment by the deadline date. Mail in payments must be postmarked no later than the deadline date.
I missed the deadline!
If you have missed your deadline cut off you are required to pay the next tier pricing. Failure to submit the payment can result in you having to pay at the convention price and/or becoming unregistered. Please email registration directly with any questions or concerns.
Can I change or add a badge name to my registration?
The only edits that can be done to an attendee registration is to correct a spelling error or typo on our part.
What is so great about the Gold Pass?
The Gold Pass not only allows you access into the convention for the three days but gets you perks such as VIP pass pick-up, front-of-the-line privileges, exclusive swag, early admission to the dealers room, and a ticket to the Guest Meet & Greet Reception! Guest reception dinner tickets will not be sold to the general population this year.
Confirmation letter and badge pick-up
My confirmation letter contains a badge number. What is that about?
Each attendee badge contains a registration number. This will make badge pick-up quicker and much more manageable. It is imperative that you bring your confirmation letter/badge number with you to badge pick-up.
What should I bring with me when I go pick-up my badge?
You should bring a copy of your confirmation letter/badge number as well as ID. Picture ID is REQUIRED in order to pick up your badge.
For those claiming adult badges, two pieces of identification are required. The following are acceptable: Driver’s license, BC Identity Card, Citizenship Card, Passport, any photo ID (Go Card, Work ID) PLUS another ID that shows your date of birth such as Care Card or birth certificate.
For those claiming minor badges: Go Card, Library Card, Student Card, Care Card, SIN card, and Birth Certificate are acceptable.
I lost my badge at the convention. Can I get a new one?
Yes, you can get a replacement badge from Registration, however you will be charged a service fee of $10 for a pre-registered badge, or the full cost of a badge bought at the convention. Please note that if you find your original badge, you can return your replacement to Registration for a refund.
Group Registration
Who can apply for the group of discount?
This year the group discount is limited to groups from school anime/cultural clubs. There must be a minimum of 10 people to receive the rate.
What is the group discount rate?
The group discount rate is 10% off the current pre-registration price for a group of 10 persons or more.
How should a group register?
A group wishing to register together should start by picking a name for their group. This will help us keep track of whom belongs with whom. It will also make registration for any latecomers to your group easier. Second, send in all your information together. It can either be via email or regular mail.
How can a group pay for their registration?
A group can pay by mailing us a cheque, or paying in person at staff meetings or at a scheduled pre-registration event. Please contact registration@animeevolution.com if you require payment via PayPal. The payment can be done as a group (one large lump sum) or individually. If done individually, each cheque and registration form should contain your group name and your name. If done as a group, the payment should also include your group name in a clear and visible space.

If I have a question concerning registration where should I send it?
Anything having to do with registration should be sent to registration@animeevolution.com.
Please do not send questions to the treasurer as she is not responsible for registration and is very busy.
I have received a confirmation letter from reg.animeevolution@gmail.com. Is this address legitimate?
Yes, it is. This is our alternate registration address. Our animeevolution.com address is quite full and therefore we have moved our account to a different address to make things easier for processing.
Minors
Who needs parental consent?
Anyone who is between the ages of 13 to 17 years requires parental consent.
How can parental consent be given?
You can mail us the parental consent form that has been signed by your parents or guardian. Parental consent can also be done in person at the convention, meaning your parent or guardian accompanies you and signs the form on site. Parental consent cannot be given over the phone. We must have a physical, signed copy.
If you are a minor and do not have parental consent, you will not be allowed on Convention grounds.
I am turning 18 before the convention but am 17 now. Do I need a parental consent form?
If you will be 18 before the convention you will be registered as an adult and will not need a consent form.
Who needs adult accompaniment?
Attendees 12 years and under must be accompanied by an adult chaperone at all times.
Who qualifies as a guardian?
The chaperone may be anyone of 18 years of age or older.
Refunds
I changed my mind and no longer want to come to AE; can I get my money back?
Anime Evolution convention passes are non-refundable and non-transferable. Issues pertaining to severe illness or sudden death will be on a case-by-case basis.
